Microsoft 365 Copilot is an AI assistant integrated into Word, Excel, PowerPoint, Outlook, and Teams. It can draft documents from prompts, summarise long emails or meeting transcripts, analyse Excel data, generate PowerPoint slides from a Word document, and answer questions across your Microsoft 365 content. It uses several large language models, including OpenAI GPT models and, where enabled, Anthropic Claude models, grounded in your tenant's data via Microsoft Graph. Microsoft now calls it Microsoft Copilot.
A Copilot readiness check and one-team pilot starts from $6,500. Microsoft 365 Copilot lists at $30 per user per month, annual commitment, on top of a qualifying Microsoft 365 or Office 365 plan (Business Basic, Standard or Premium, E3, E5, F1 or F3, among others). Microsoft 365 E7 already includes it. There is no seat minimum. Organisations on a Microsoft 365 Business plan (up to 300 users) can buy Microsoft 365 Copilot Business at $21 instead. The Sales, Service and Finance agents are included, though you still need the CRM or ERP they connect to.
The two prerequisites: (1) data readiness, Microsoft Purview sensitivity labels deployed, SharePoint/OneDrive over-sharing audited and remediated, DLP policies in place; (2) user readiness, Microsoft 365 adoption baseline strong, Teams and OneDrive in active use, governance baseline (Conditional Access, Intune, Defender for Office 365) operational. Microsoft 365 Copilot is the general-purpose AI assistant in Microsoft 365 apps. Copilot Studio is a low-code tool for building custom AI agents, for example, an HR policy assistant that answers employee questions from your HR knowledge base, or a customer-support agent grounded in your product documentation. Copilot Studio agents can be used inside Microsoft 365 Copilot or stand alone in Teams or on websites.
Microsoft does not use your tenant's content to train foundation models. Prompts and responses are processed and stored under the same terms as your other Microsoft 365 content (Microsoft Products and Services Data Protection Addendum, EU Data Boundary where applicable). Two things sit outside the EU Data Boundary: web search queries, which go to Bing under separate terms, and Anthropic models. Microsoft Purview can audit and DLP-restrict Copilot interactions. All standard M365 security applies (Conditional Access, Compliance Manager).
Early users in a 2023 Microsoft survey reported saving 14 minutes a day on average, about 1.2 hours a week. At a $50/hour fully-loaded cost, a $30/month licence pays for itself once an active user saves 36 minutes a month. Caveat: base the return on people who use meaningful Copilot features every week, not Microsoft's broader active-user figure, which counts a single action. Every idle seat raises the cost per active user, so adoption focus determines ROI.
